FTEs are full-time equivalents, not people. Part-time staff count as a fraction of an FTE.

How this is calculated
  • Paid hours per year = paid hours per week × 52.
  • Hours off = days off (vacation, holidays, sick, training) × paid hours per day (paid hours per week ÷ 5).
  • Worked hours per year = paid hours per year − hours off.
  • Relief factor = paid hours per year ÷ worked hours per year.
  • Staff on duty per day = the staff you enter across all shifts.
  • Hours per week = staff on duty per day × shift length × days covered per week.
  • Core FTEs = hours per week ÷ paid hours per week.
  • FTEs needed = core FTEs × relief factor. Extra FTEs for time off = FTEs needed − core FTEs.
  • Open FTEs = FTEs needed − current FTEs, never below 0.
  • Replacement hires per year = FTEs needed × annual turnover.
  • FTEs per round-the-clock position = (24 × days per week ÷ paid hours per week) × relief factor.

One FTE is one person paid for a full-time week. Because every employee takes paid time off, you need more than one FTE on payroll to keep one position filled. The relief factor is that extra amount.
