This is a planning estimate. Your actual costs depend on your wages, benefits and the rates you pay.

How this is calculated
  • Annual hours = census × HPRD × 365.
  • Budget-year wage = wage × (1 + planned wage increase).
  • Loaded staff rate = budget-year wage × (1 + benefits and payroll taxes).
  • Overtime rate = budget-year wage × 1.5 × (1 + payroll taxes on overtime).
  • Annual hours are split into own staff, overtime and agency hours using the shares you enter.
  • Each cost = those hours × the matching rate (loaded rate, overtime rate, or your agency bill rate).
  • Staff FTEs = own staff hours ÷ worked hours per full-time employee.
  • True agency premium = agency hours × (agency rate − loaded staff rate). It can be negative.
  • Overtime vs agency = overtime hours × (overtime rate − agency rate). Positive means overtime costs more.
  • Monthly budget = annual ÷ 12. Cost per resident day = annual ÷ (census × 365).
  • Recruiting budget = sign-on bonuses (all hires if paid up front, retained hires if paid after 90 days) + advertising. Break-even years = cost per retained hire ÷ (agency premium per hour × 2,080).

Wage defaults are state averages from the U.S. Bureau of Labor Statistics Occupational Employment and Wage Statistics, May 2025, adjusted by facility type.

The 25% default for benefits and payroll taxes is conservative. BLS reports that benefits were 30.0% of total compensation for private industry workers in June 2026, which is about 43% on top of wages.
